  • Administrative Coordinator, Office of Development

    February 2010

    Job Title: Administrative Coordinator, Office of Development ( Permanent part-time, eventually leading to full-time)

    Position Description:

    An integral member of the development team, the Administrative Coordinator works closely with the development staff and is responsible for ensuring that all of the critical administrative work related to CHF’s fundraising is executed accurately and in a timely manner.

    Responsibilities include:

    • Preparing accurate and timely gift acknowledgement letters,
    • Assisting the Development team with  the preparation and execution of mass-mailings,
    • Preparing and sending bi-weekly gift reports to CHF Board members and the Development committee.
    • Maintaining relationship database,
    • Serving as the point person for all donor cultivation events, including the CHF’s annual meeting. This will involve coordinating the invitation production process, working with in-house designer and printer, preparing invitation lists, purchasing stamps, and executing the mailing,  
    • Maintaining cultivation event RSVP's, coding and accurately recording them in the Raiser’s Edge database,
    • Assisting with Development Committee meeting preparation including, reserving the meeting space, securing refreshments, coordinating meeting materials, and following up with members to determine their attendance status,   
    • Coordinating with the Festival’s marketing team to update the development’s website page with relevant information,
    • Coordinating correspondence (mailings, e-mails, phone calls, etc.) of Charter Humanist Circle members and responding to requests.  This includes assisting with solicitation mailings, distributing red badges and program guides in late summer, and handling special requests during the run of the Festival.
    • Managing the holiday gift card mailing to CHF’s partners, donors, and board members,
    • Maintaining complete and accurate of donor records in Raiser’s Edge donor database,
    • Proactively ordering supplies by anticipating meeting, mailing, event preparation, and other short- and long-term needs, 
    • Assisting with CHF gala coordination, including scheduling weekly gala telephone calls, and handling requests as they arise,
    • Working with Director of Corporate and Foundation Relations to ensure that  contact information and proposal status  is up to date in Raiser’s Edge, and maintaining corporate and foundation files,
    • Working collaboratively with the marketing and programming  staff,  and
    • Accepting tasks and responsibilities as assigned.

    Qualifications:

    • Bachelor's degree  required
    • Prior development/fundraising experience strongly preferred
    • Excellent oral and written communication skills required
    • Proven organizational skills with attention to detail
    • Solid interpersonal skills, common sense, and a warm outgoing personality
    • Strong skills in Microsoft Word, Excel, are required; experience with Raiser’s Edge, Tessitura, or similar donor databases  strongly preferred
    • Discrete and able to maintain confidentiality of privileged information
    • Highly organized, detail oriented, and able to work independently, as well as collaboratively
    • Flexible, able to work occasional overtime and evening events
    • A team oriented focus with excellent project management skills
    • Adaptable and flexible in a fast paced environment, able to multi-task, prioritize and meet deadlines
    • Self motivated with a willingness to take on new projects

    Position Title: Associate Director, Major Gifts and Program Underwriting

    Reports To: Director of Development

    Overview:

    Chicago Humanities Festival was established in 1989 under the simple premise that ideas matter.  The Festival’s founders’ primary objective was to create an organization that ensures that the arts and humanities are a part of everyday life.  Each fall beginning in October and continuing through mid November, the Festival’s month-long intellectual odyssey of programs, speakers, performances, and exhibitions offers Chicagoans an unprecedented opportunity to gather in venues located throughout Chicago to explore a myriad of fascinating topics.  In the spring, CHF produces its award-winning all ages festival—Stages, Sights and Sounds.

    Collaborating with nearly 40 of Chicago’s major cultural and educational institutions, CHF has an international reputation for innovation and creativity, featuring an exceptional roster of speakers and performing artists.

    In 2010 the Festival will produce its 21st Festival.  The theme of this year’s festival is “The Body”. Understanding that this theme opens many avenues for individual philanthropic and corporate sponsorship participation, the Festival has created a new position.

    Position Description:

    Reporting to the Festival’s Director of Development, the Associate Director of Major Gifts and Program Underwriting’s primary responsibility is to identify and solicit individuals for philanthropic gifts to underwrite a specific Festival program or suite of programs.  Simultaneously, the Associate Director will also be responsible for researching and executing integrated Corporate sponsorship plans working with corporate marketing departments or their agents.  Sponsorships range from $5000 to $25,000 +.  Customized benefits such as recognition on site, in the program guide and on the festival’s web-site will be designed for specific ranges of support.  The revenue goal for this effort is $350,000 in new funds.

    In addition to prospect research and successfully soliciting sponsorships, the Associate Director will also manage the stewardship/fulfillment efforts.

    The Associate Director will be responsible for a portfolio of 100 individuals and 25 corporations/professional services firms.  The Associate Director will coordinate efforts with the Director of Development and the Director of Institutional Giving

    Responsibilities include:

    Working closely with Executive Director and Director of Development to design a customized “pitch package” for prospective corporate and individual program sponsors.

    • Researching new prospects
    • Working with marketing and communication team to ensure that the sponsorship program reinforces and supports the Festival’s brand
    • Maintaining and updating the donor database, development files and lists
    • Preparing queries, and special reports from raiser’s edge database, as required
    • Processing gifts and recording gifts in the database
    • Collaborating with Director of Development to set and monitor budgets and financial goals
    • Working with entire development team to execute fully integrated plans to secure approximately $2,800,000 in annual philanthropic support for the Festival’s general operating and programming budgets
    • Collaborating with Marketing to develop membership, and solicitation materials
    • Meeting with 15-20 new prospective sponsors per month, and
    • Other tasks and responsibilities as may be assigned from time to time.

    Qualifications:

    • 5-7 years+ relevant development and fundraising experience with a not-for-profit organization(s), including demonstrated success in developing annual campaigns, soliciting and securing major individuals and corporate gifts, and experience working with Board(s) of Trustees required
    • BA required
    • Comfortable working in a mission and values driven environment 
    • Possess strong interpersonal skills, common sense, and a warm, outgoing personality. 
    • Able to take initiative and build and maintain strong rapport and positive relationships with a targeted individuals and groups of varied backgrounds
    • Strategic thinker, possessing solid problem solving, analytical, planning and organizational skills
    • Able to work in a fast-paced environment, deal with emergent issues, and juggle multiple projects
    • Highly energetic, self-motivated, extremely confident, and with good verbal and written presentation skills
    • Able to establish strong working relationships and work effectively with others. A team player with outstanding communications skills, including listening skills.
    • Discrete and able to maintain the confidentiality of privileged information.
    • Able to use Microsoft office, word, excel, PowerPoint and other similar software packages.  Working knowledge of Raiser’s Edge, Tessitura or similar fundraising databases a must.

  • House Manager

    Reports to: Production Team

    Position Description:

    Seasonal house managers are responsible for managing front of house operations and supervising teams of volunteers for programs during the 20th Annual Chicago Humanities Festival: Laughter, October 17 and November 4 - November 15, 2009. House managers are part-time, seasonal positions. These positions primarily require weekend availability on October 17, November 7-8, and November 14-15 with some weekday and evening availability required in September, October, and during the Festival. Hours are dependent on the needs of assigned program(s). Pay is competitive.

    Responsibilities:
    • Attending mandatory training sessions and volunteer recruitment events; confirming volunteer assignments and visiting assigned venue(s) prior to the Festival
    • Training, supervising, and assisting volunteer ticket staff and ushers
    • Monitoring crowds primarily in general admission venues
    • Communicate effectively with the stage manager to coordinate front of house and back of house operations
    • Transporting, securing, and displaying Festival marketing materials and signage
    • Serving as liaison between CHF and Festival audiences
    • Managing ticket sales at the door of Festival programs
    • Completing and returning all ticket sales reports, volunteer attendance records, and program feedback reports after Festival programs
    • Other duties as assigned

    Applicants must possess:

    • The ideal candidate will have some house management and box office experience

  • Patron Service Representative

    Reports To: Associate Manager, Patron Services

    Position Title: Patron Service Representative

    Position Description:

    Patron Services Representatives will be the voice of CHF during this year’s 20th Annual Festival: Laughter. CHF’s box office team must clearly articulate programs and events to patrons, members, and the general public. These part-time, seasonal positions start September 8, 2009 and end November 15, 2009, with some weekend availability required. Training and orientation will be the first week of September. Regular business hours are Monday through Friday 10:00 a.m. – 5:00 p.m., Saturdays 10:00 a.m. – 2:00 p.m. Some weekend and evening hours will also be available during the Festival, October 17 and November 2 – 15, 2009. Pay is competitive.

    Responsibilities:

  • Acting as a representative of CHF
  • Providing excellent customer service over the phone and in person
  • Processing ticket orders for over 90 programs by taking calls, processing payments, and printing and mailing tickets
  • Carefully and accurately maintaining and updating all customer records into CHF’s patron database and ticketing system
  • Expanding our Membership program by educating our audience about its benefits
  • Assisting the Associate Manager of Patron Services and CHF administrative staff on projects as assigned.

  • Stage Manager

    Reports To: Production Team

    Position Title: Stage Manager

    Position Description:

    Seasonal stage managers are responsible for successfully managing assigned CHF programs and performances associated with the 20th annual Chicago Humanities Festival: Laughter, October 17 and November 4 – November 15, 2009. Stage managers are part-time, seasonal positions. These positions primarily require weekend availability on October 17, November 7-8, and November 14-15 with some weekday and evening availability required in September, October, and during the Festival. Hours are dependent on the needs of assigned program(s). Pay is competitive.

    Responsibilities:

  • Confirming program and venue technical support including augmenting sound and audio/visual requirements to venues and presenters specifications
  • Ensuring smooth programming at assigned venues including operating audio/visual equipment, executing stage set-up, and coordinating PowerPoint, slide, DVD, VHS, and other media projection
  • Working closely with House Managers to ensure productive communication between front of house and back of house staff
  • Leading audio, light, venue, and/or vendor technicians as needed
  • Following up with presenters in regards to their technical and performance requirements
  • Other tasks and responsibilities maybe required. Access to a car is a plus.
